The Ask

EDI is an environmental consulting firm with teams working across Western and Northern Canada. With a growing, distributed workforce, their intranet plays a big role in supporting internal communication, connection and access to information.

EDI approached Monogram Communications to better understand how staff use the intranet, identify communication gaps and gather meaningful input to guide improvements. Their goal was to develop a clear, practical strategy that would strengthen internal communication and support staff engagement.

The Approach

To effectively support EDI’s needs, Monogram Communications led a research-driven and engagement-focused project designed to build clarity around intranet usage, staff expectations and opportunities for improvement. Key initiatives included:

  • Intranet review: Assessed the structure, usability and existing communication materials to establish a strong baseline.
  • Staff-wide survey: Designed and delivered a survey to capture organization-wide experiences, habits, challenges and communication needs.
  • Focus groups: Facilitated sessions with users to explore diverse perspectives and identify barriers and opportunities.
  • What We Heard summary: Consolidated findings into clear themes that reflected the voices of staff across departments and levels.
  • Communications strategy: Developed practical, prioritized recommendations.
The Results

This project gave EDI a clear, research-driven understanding of how staff use the intranet and where communication gaps and opportunities exist. The “What We Heard” summary distilled a wide range of staff perspectives into accessible themes that helped leadership see patterns, challenges and needs across the organization.

The final communications strategy provided:

  • Prioritized, actionable recommendations to strengthen internal communication and improve the intranet experience.
  • Clarity on staff expectations across leadership, engaged users and unengaged users.
  • Guidance for short-term improvements and longer-term planning, giving the organization a practical path forward.
